VEHICLE SOURCING SERVICE
All vehicle requirements must be fully defined and agreed between the customer and Carsuppliers.
The customer usually initiates this process by submitting a proposal form, via the Carsuppliers website.
Carsuppliers will also accept verbal instructions by phone or in person.
Carsuppliers will prepare and send a Vehicle Supply Agreement (VSA) by email/post confirming the requirements for the customer’s approval.
The VSA will contain the following information:
- Full name and address including the delivery address.
- Full details of the car required as set out in the original proposal form, including any amendments that were subsequently agreed by email/telephone,
(e.g. any additional extras etc).
- An approximate price range / budget of the vehicle.
- Any specific additional requirements.
- Full details of any part exchange vehicle including the agreed underwritten value.
Once the customer has approved the VSA, Carsuppliers would usually request a small deposit, which is required as a commitment to proceed with an order.
The exact amount of the deposit is agreed with the customer in respect of each VSA.
The deposit amount is usually determined by the size of the order and is included within the VSA.
Deposits are typically collected via the internet utilising a secure electronic payment method, or alternatively the customer would either send a cheque or instruct a bank transfer.
Upon receiving the deposit, by default, Carsuppliers will issue an electronic receipt to the customer’s email address or if requested, by post to the customer’s address.
In the event that after 21 days Carsuppliers was unable to locate a suitable vehicle, Carsuppliers guarantees to offer customers a full refund of their original deposit.
Once the deposit is received Carsuppliers will then proceed to locate and inspect prospective vehicles on behalf of the customer. Carsuppliers will remain in regular dialogue with customer’s regarding the progress of their order.
Any subsequent changes to a customer’s requirements will be recorded and confirmed by email, Carsuppliers will re-issue the VSA at the customer’s request.
Once a suitable vehicle or choice of vehicles have been located matching a customer’s requirements Carsuppliers will endeavour to contact the customer to gain approval to purchase the car on their behalf.
In the event that Carsuppliers were unable to contact a customer, within a reasonable timeframe, then Carsuppliers would go ahead and purchase the vehicle on the customer’s behalf, only providing that the car was in line with the VSA, (including any subsequent agreed amendments).
Conversely, should the vehicle located not be as specified within the bounds of the VSA (including any subsequent agreed amendments), and the customer could not be contacted, within a reasonable time-frame, then Carsuppliers would not purchase the car until such time as the customer was contacted for their decision.
Should the customer decide not to proceed with the vehicle sourcing order within the first 21 days of Carsuppliers receiving the approved VSA, and where Carsuppliers have not yet acquired a vehicle on their behalf, Carsuppliers guarantees to return the original deposit, less an administration fee of £250.
In the event of the customer wishing to change their decision to proceed with an order as per a purchase agreement or approved VSA and following Carsuppliers having already purchased a vehicle on their behalf, then Carsuppliers would not be in a position to refund the original deposit .
VEHICLE QUALITY – Applicable to all vehicles sourced and sold on a retail basis.
Carsuppliers guarantee to provide vehicles that are in excellent condition in relation to their age and mileage, except for normal wear and tear.
Carsuppliers guarantee to carry out rigorous and thorough inspections by suitably qualified personnel of all vehicles supplied prior to delivery.
A comprehensive pre delivery vehicle inspection report will be emailed or posted to the customer prior to delivery confirming that the vehicle being supplied is in excellent condition throughout and having no mechanical defaults at the point of sale.
In addition to the vehicle inspection undertaking, at the customers request, Carsuppliers can provide a reputable independent parts and labour warranty, at trade cost.
All vehicles supplied by Carsuppliers will normally have a minimum of six months valid MOT remaining.
Where a car is sourced that has less than six months MOT remaining Carsuppliers will arrange for a new MOT to be undertaken, at no additional cost to the customer.
Where a car is sourced with having more than six months MOT, but less than twelve months remaining, at the customers request, Carsuppliers can arrange for a new MOT to be arranged prior to delivery, at trade cost.
Carsuppliers endeavour to confirm and verify service history records, including the most recent service prior to delivery.
If a vehicle should be nearing the time or mileage required in respect of the next service, at the customers request, Carsuppliers can arrange for the vehicle to be serviced prior to delivery, at trade cost.
In the event that replacement keys are missing, Carsuppliers can organise to supply additional keys at trade cost directly from the relevant manufacturer.
Carsuppliers guarantee to provide a reputable independent report from HPI confirming the status in respect of any previous accidents, stolen / recovery instances, including any outstanding finance.

If upon delivery the customer finds that the vehicle is not as described within the pre delivery inspection report, or equally, where the vehicle is found not to be in satisfactory condition (i.e. after taking into account the age and mileage), Carsuppliers guarantees to:
- Rectify the problem to the customer’s complete satisfaction, or
- Replace the car, or
- Refund the original deposit
VEHICLE DELIVERY
In respect of vehicle sourcing orders delivery costs within the UK are built into the total price agreed for the car, and there are no additional delivery fees.
Where cars are purchased on a retail basis (i.e. outside of a vehicle sourcing arrangement), a delivery service within the UK and Ireland is available at additional cost, which is usually calculated on a prevailing ‘pence per mile’ basis.
Delivery to Ireland is usually scheduled to meet at Dublin Port, and is charged at cost, which is subject to prevailing ferry and return flight tariffs.
Delivery into mainland Ireland i.e. beyond Dublin Port is charged at additional reasonable cost.
All documentation relating to the vehicle will be handed over to the customer and completed at the time of delivery in accordance with prevailing UK DVLA regulations.
Delivery times are flexible and by prior arrangement.
Carsuppliers will provide customers with an adequate test drive and sufficient time to inspect the vehicle including the associate paperwork prior to receiving payment of the remaining balance due.
Carsuppliers will email or post invoices prior to delivery, and in addition will issue a hard copy invoice to the customer upon receipt of the full payment.
Notes:
UK Road Tax is generally not included within the price of the vehicle, this may be arranged by us prior to delivery at cost. Should Carsuppliers purchase a vehicle that had valid road tax remaining then this would be included within the sale of the vehicle.
Motor Insurance is not included within the price of the vehicle and should be arranged to coincide with the timing of the delivery.
Subject to prevailing UK motor insurance eligibility tests, Carsuppliers are suitably positioned to facilitate a free and with no obligations fully comprehensive ‘7 days drive-away’ insurance from a reputable UK motor insurer.
PART EXCHANGE
Customers wishing to use Carsuppliers part exchange facility would usually complete the part exchange section included within the on-line proposal enquiry form.
Carsuppliers will in addition accept part exchange details by phone or in person.
Carsuppliers may subsequently contact the customer to clarify their vehicle details after which, Carsuppliers would provide an indicative trade-in value, to be agreed with the customer.
Within the Vehicle Supply Agreement (VSA), Carsuppliers will include the agreed in principle trade-in value.
The trade-in value will be deducted from the cost of the vehicle to be supplied.
All trade-in values quoted by Carsuppliers are valid for a period of 21 days.
All trade-in values agreed by Carsuppliers with customers are conditional and may be amended if the vehicle does not prove to be within reason, as described by the customer.
In the event that a customer vehicle for part exchange is found during the time of delivery and collection to have been subsequently damaged or where it is within reason not in the condition described by the customer, then Carsuppliers reserves the right to amend the estimate and/or terminate the part exchange agreement.
In the case where a Part Exchange Agreement is terminated, the customer must then either choose to supplement the outstanding balance or, cancel the order and consequently forfeit their original deposit.
PAYMENT TERMS
Deposits are accepted by: Cheque to “Carsuppliers Limited”, Bank Transfer, Credit and Debit cards, electronically via PayPal.
Remaining balance is due to Carsuppliers on satisfactory delivery and receipt of the vehicle.
Acceptable payment methods are Cash; Bankers Draft; Building Society Cheque or by Bank Transfer.
